As the leading medical recruitment agency in South Africa, our client has an exciting opportunity for a Practice Manager based in Pinelands, South Africa. The Practice Manager is responsible for overseeing the day-to-day management of the neurology practice. In addition to managing general operations, you will also serve as the face of our practice, providing warm and empathetic reception to everyone who walks through our doors. Your role will ensure a well coordinated, efficient, and patient-centered experience.
Responsibilities:
Care Pathway Management
- Act as the single point of contact for patients to guide them through their journey with us, from initial consultation through follow-up appointments. Answering and addressing any non-medical patient concerns effectively.
- Collaborate with healthcare providers and administrative staff to facilitate a smooth and efficient healthcare experience for the patient.
- Explain procedures and other aspects of the care pathway to patients in a clear and understandable manner.
- Provide support in navigating medical aid requirements, billing, and other financial aspects of patient care.
Front Desk & Administrative Duties:
- Warm and cordial reception of patients, vendors, and other visitors.
- First and final point of contact for all patient interactions, from scheduling to finalizing consultation files.
- Manage and administer patient appointments using the GoodX electronic calendar/booking system, integrating both online and direct (telephonic etc) appointment bookings
- Manage Drs calendar and workflow for both in-hospital and rooms patients
- Typing of feedback reports, or other requested emails, proofreading, correcting as necessary and emailing to correct Physician/referring Dr etc. Ensure receipt and address any questions or enquiries
- Ensure patient forms and supportive documents are complete and accurate prior to patient consults and within hospital admission time frame
- Handle daily email correspondence and patient file management in compliance with the POPI act.
- Prepare patient files in advance of consultation to include: reports; correspondence from referring doctors; correspondence from medical aids; medical test results and any additional correspondence
Operational & Financial Management:
- Oversee daily operations, financial reporting, and resource allocation.
- Capturing of billing, receipting in rooms when patients pay immediately or after following up with billing partner
- Detailed hand over to administration team in respect of patient-related and practice requests
- Assisting with all enquiries/queries to resolve supportive documents/information required for payment of claims.
- Complete billing sheets, add ICD-10 codes, and manage invoicing and payments
Multi-disciplinary Liaison:
- Coordinate with the hospital and other medical practices for integrated patient care
- Assisting with Dr direct requests; patient-related, and practice related.
Office Management:
- Manage practice rooms and ensure the space is neat, sanitized, and well presented.
- Managing office supplies and equipment; including management and ordering, payment management and invoicing etc. for stationery, consumables, and maintenance for equipment (as needed)
Requirements:
- Matric
- Min 3 years experience in healthcare practice management
- Strong proficiency in computer skills, including experience with GoodX, Trello, Microsoft Office & Google Workspace
- Exceptional interpersonal and communication skills, both verbal and written.
- Self-starter, ability to multitask efficiently in a fast-paced environment.
- Industry Knowledge: Familiarity with medical aids, billing, coding, and hospital workflow
- Understanding of Accounting and financial management
- Advantageous: A background in nursing and clinical experience, ability to check medical results, interact with patients for delivery of test results and follow ups, explains medications and treatment plans as directed by specialist Neurologist. Reviews patient feedback and structures tasks for specialist Neurologist.
Salary is market related
Location: Pinelands
Working hours: 7:30am to 5pm (on-site), occasional after-hours (remote)
